2. Core principle of the app

Kikudana is a podcast player for Direct Feeds selected by you and, optionally, for an Audiobookshelf server. Library data, media, and credentials are not transmitted to a server operated by the app provider. The app contains no advertising, third-party analytics, or tracking operated by the app provider.

Apple may process operating-system, App Store, iCloud, and device data under its own terms. Kikudana does not upload MetricKit reports to the app provider; the app records only local counters for diagnostic packages delivered by the system.

3. Data processing in Kikudana

Direct Feeds and connection to your Audiobookshelf server

For Direct Feeds, Kikudana processes the feed, podcast website, and Apple Podcasts addresses you add or share, as well as the podcast, episode, artwork, and media data retrieved through them. Requests are sent directly from the device to the respective website, feed, and media providers; their operators determine their own data processing and retention periods. An address received through the Share Extension is passed to Kikudana within the app group and is not sent to the app provider.

For optional Audiobookshelf sign-in and use, the app processes the server address, user identifier, access token, optional custom headers, and library, podcast, episode, progress, and media data. Communication takes place directly between your device and the server you specify. Responsibility for and retention of data on that server are determined by its operator.

The purpose is the retrieval, sign-in, playback, synchronization, and offline use you request. The legal basis is Article 6(1)(b) GDPR. If you deliberately allow HTTP, the transmission is not encrypted in transit; HTTPS is recommended.

When you start a migration, Kikudana transmits the feed address, selected destination library and folder, selected settings, and listening progress directly to your Audiobookshelf server. The server downloads selected episodes directly from the feed; Kikudana does not upload existing audio files from the device.

Local storage and Keychain

Accounts, Direct Feed subscriptions, library cache, search index, settings, Smart Lists, Current Queue, Player state, listening progress, downloads, and local analysis data are stored on the device. Passwords, tokens, and sensitive header values are stored exclusively in Apple Keychain. The purpose and legal basis are performance of the contract under Article 6(1)(b) GDPR.

On-device transcription, summaries, and diagnostics

Optional transcripts and AI-generated summaries are created on the device using system features provided by Apple. Kikudana does not transmit audio, transcripts, or summaries to a cloud AI service or to the app provider. Generated content remains on the device and is deleted together with the associated local episode data.

Smart-Skip processes audio data locally on the device. Kikudana does not send this audio data or analysis results to a cloud AI service or automatically to the app provider.

Kikudana does not automatically transmit diagnostic logs to the app provider. A diagnostic export deliberately shared by the user excludes, in particular, credentials, server addresses, authenticated URLs, media content, transcripts, and summaries.

Optional iCloud synchronization

If you enable synchronization, Kikudana stores selected settings in your private Apple CloudKit database, along with Direct Feed subscriptions that include either a public feed address or a reference to credentials stored locally in Keychain, Direct Feed listening progress and podcast rules, Smart Lists and memberships, hidden podcasts, the active library, aggregated listening and Smart-Skip times, change markers, and deletion records. Credentials, headers, authenticated URLs, the Player, Current Queue, downloads, and media files are not stored in CloudKit.

This processing provides the cross-device functionality you request (Article 6(1)(b) GDPR). You can disable it and delete synchronized data in Kikudana’s advanced settings.

StoreKit purchases

Apple handles purchases and payments. To unlock access, Kikudana receives the product ID, transaction and original transaction IDs, purchase and expiration dates, revocation status, and, where applicable, Family Sharing ownership. A local entitlement record stores this information and the verification times; it contains no payment data. The legal basis is Article 6(1)(b) GDPR.

Apple’s processing is governed by the Apple Privacy Policy.

4. Information pages and support

The Kikudana privacy page uses no analytics or advertising services. When you access it, the hosting provider may process technically necessary log data such as IP address, time, destination address, amount of data transferred, status code, referrer, and user agent. The purpose is secure and stable delivery; the legal basis is Article 6(1)(f) GDPR.

If you contact us by email or phone, we process contact details, message content, and technical information in order to handle the request. The legal basis is Article 6(1)(b) GDPR for contractual or support matters and, otherwise, our legitimate interest in responding appropriately under Article 6(1)(f) GDPR.

5. Recipients and transfers to third countries

Recipients may include the operator of your selected Audiobookshelf server, Apple for the App Store, StoreKit, and iCloud, and hosting and email providers acting as technical service providers. No other disclosure takes place unless required by law or necessary to enforce legal rights.

For service providers outside the European Economic Area, transfers take place only on the basis of an adequacy decision, appropriate safeguards such as the EU Standard Contractual Clauses, or a statutory exception. Specific details must be reconciled with the hosting and email providers actually used.

6. Retention and deletion

• Local app data remains until the relevant deletion action, removal of the account, or deletion of the app. Accounts should be removed before uninstalling because iOS may retain Keychain entries.
• iCloud configuration data remains until it is deleted in advanced settings or through Apple’s iCloud management.
• Support communications are deleted once the request has been resolved and no statutory retention or evidentiary obligations remain. The purpose, limitation periods, and statutory deadlines determine the applicable period.
• Technically necessary web-server data is deleted when its purpose no longer applies and no statutory retention or evidentiary obligations remain.
• Apple and your Audiobookshelf operator determine their own retention periods.

7. Your rights

To the extent provided by law, you have rights of access, rectification, erasure, restriction of processing, data portability, and objection. Where processing is based on consent, you may withdraw that consent with effect for the future. To exercise your rights, send a message to the email address above. Proof of identity may be required before information is disclosed.

Under Article 77 GDPR, you may lodge a complaint with a data protection supervisory authority. For non-public controllers in Bavaria, the competent authority is generally the Bavarian State Office for Data Protection Supervision (BayLDA), Promenade 18, 91522 Ansbach, Germany.

8. Provision of data and automated decisions

Direct Feeds can be used without an Audiobookshelf account. Without a server address and credentials, Kikudana cannot connect to your Audiobookshelf server. Purchase data is required for Pro access; purchasing Pro is voluntary. The app provider does not perform profiling or automated decision-making that produces legal or similarly significant effects.

9. Changes

This policy will be updated if features, service providers, or the legal framework change. The version published on this page applies.published at this address at any given time shall apply.
